Emergency Numbers, Precautions, and Preparations

DEFINITION OF AN EMERGENCY

An emergency is any event that is not normal and customary to the daily operation of the building.

Examples are:

  • Active Shooter
  • Bomb Threat
  • Electrical Failures/Interruptions
  • Elevator Emergency
  • Environmental Disaster
  • Fire and Smoke Emergency
  • Hostage Situation
  • Medical Emergency
  • Natural Gas Emergency
  • Water Interruption/Floods


EMERGENCY PREPARATION

Upon moving into your new suite, it is important to develop an emergency plan.  A detailed list of 

the location of documents and equipment is essential, as is a contact list.


The following items are for emergency contingency plans.  By preparing in advance, you and your staff will know what to do and when to do it.


As part of an overall safety and emergency program, we suggest each tenant customer appoint "Safety Officer(s)" to be responsible for communicating emergency procedures to each employee and overseeing and evaluating the tenant's response to an emergency.  During an actual emergency, the "Safety Officer(s)" serve as liaisons between the building management and the tenant's employees.


Tenants occupying one floor or less might appoint two "Safety Officers."  Tenants occupying more than one floor might appoint a minimum of two "Safety Officers" per floor.  Individuals selected as "Safety Officers" need training for emergency events.  Emergency Procedures Manuals for safety officers are available through the management office.  In addition, these individuals need to be those who are usually available in their offices.


RECOMMENDED PRECAUTIONS

While everyone needs to know how to respond in an emergency, it is just as important that you take steps to prevent emergencies from occurring.  We recommend the following precautions:


1. Any flammable or combustible supplies regardless of being properly contained in metal cans or safety containers are not allowed on the premises.


2. Maintain Material Safety Data Sheets in central locations where they are visible for all to see.


3. Avoid using extension cords instead of permanent wiring.  If used, extension cords need the three prong grounded connection.


4. Keep all appliances and electrical cords in good repair.


5. Turn off all electrical appliances for coffee, cooking or heating before leaving the office.


6. Cigarettes, cigars, and other smoking materials are only allowed in the specified exterior area and dispose only into the smoker poles/designated receptacles.  Never discard cigarette butt, etc on the ground or in landscaping beds, especially in the Summer months.


7. Forbid the use of candles or naked flames in the office.


8. Assign a specific person or persons to aid anyone in the office who requires special assistance in an emergency.


9. Report any potential fire hazards in the building to the Management Office.  (Examples:  Blocked stairwells, faulty fire protection equipment, leaks or damaged wiring.)


10. Space heaters are not allowed.  If you are uncomfortable, please contact Management Office and we will investigate the heating issue.
